O-tix Check-In Overview

O-tix Check-in is a powerful tool for organisers. It combines visitor check-in with onsite registration, enabling organisers of consumer exhibitions or events that do not require mandatory registration, to capture even more visitor data on-site, simply using the tickets that you sell through your box office, or online.

Note that this system is specifically for event organisers for use during an event (to manage ticketing, and to scan visitors’ tickets to grant their entry). A separate system called ‘O-Tix Capture’ exists for event vendors/exhibitors’/sponsors. This system is used to assist vendors/exhibitors’/sponsors in capturing visitor details.

O-tix Check-in is currently available for iOS only. It can be downloaded from the Apple App Store by simply searching for O-tix Check-in.


 

STEP 1: LOGIN WITH YOUR O-TIX ACCOUNT

Login to the user account which is the same account that you use to create and manage your event in O-tix. Click ‘Learn More’ to view more information about O-tix, click ‘Try O-tix’ to create a new account in O-tix.


 

STEP 2: SELECT YOUR EVENT AND THE TICKET TYPES YOU WISH TO SCAN

After logging in you will see a list of all events that you have access to under your account. Simply tap on the event for which you want to check-in attendees, and select the tickets that you want to validate. Only those tickets that have been selected will be validated and authenticated by the app on the specific device that you are using.

On the bottom of the page, tap the Location field to select your scan location (you can add new scan locations from O-tix backend), and click ‘Next’ to proceed.


 

STEP 3: START SCANNING

Tap ‘Start scanning’ at the bottom, you will see two ways to scan the tickets:

1. Kiosk mode:

If you want to capture onsite registration of all your attendees, you will need to select the kiosk mode. Use this mode when your event has more emphasis on capturing all of your visitor’s details. The registration form is created on O-tix backend.

2. Check-in mode:

This allows the attendees to just scan their tickets without filling in the registration form on-site. Once your event has loaded, you can simply hit the “Start scanning” button to activate the scanning camera and begin scanning attendees. The system will validate the ticket and grant their permission (if it is valid). Use this mode to validate tickets and grant visitor entry as fast as possible.

On both Check-in and Kiosk modes, you can manual entering the ticket ID without scanning. Tap the ‘manual Entry’ button at the top-right corner of the scan view, manual input at least 8 digits to search the code and check in or register the customer.


 

 

STEP 4: VIEW ATTENDEES, MANUAL CHECK IN AND EDIT REGISTRATION INFORMATION

Return to the ticket list view. There are three tabs:

  • All  show all tickets in the system.
  • Checked-In - show all checked-in tickets, no matter they are registered or not.
  • No-Show show all non-checked in sold tickets, no matter they are registered or not, sold online or onsite.

Tip: O-tix check in allows you to view how many tickets have checked in. For example, the ‘6/21’ means 6 out of 21 tickets has checked in.

 

For all ticket entries with orange colour which are registered but not checked-in, you can manually check in them by clicking the blue arrow-shaped button. It can be applied for those online registered customers who forget to carry their tickets.

Tip: Click the entry name, you can edit the registration information for customers.


Once finish the scan by O-tix Check-in app, you can log into O-tix backend to view the check-in attendees and extract all registration data.
